BallerTV SOP

Overview

BallerTV is the onsite streaming provider for our tournaments and showcases, capturing live video coverage of competition for live broadcast. BallerTV covers Prep Hoops, Prep Girls Hoops & Prep Dig.


Shared Spreadsheet

BallerTV works off the "BallerTV x Prep Network Venue Information" spreadsheet — a live, jointly-updated tracker.

Sofia’s responsibility is to keep each event row current including:

  • Event Name
  • Brand
  • Week / Date
  • Venue
  • Courts
  • Venue Contact (Name, Phone, Email)

BallerTV is responsible for inputting:

  • Event ID
  • Request Staffing Help (rep count, if BallerTV needs extra hands)
  • BTV Rep Venue Access Time
  • BallerTV Contact On Site
  • BTV Arrival Time

Process

  1. Sofia adds each event to the spreadsheet, organized by month tab, sharing it with BallerTV.
    – Confirms partnership, scope, and high-level expectations for that event.
  2. BallerTV flags staffing needs directly in the spreadsheet, adding a comment to the relevant cell if they need onsite rep support.
  3. Sofia relays those staffing needs to the corresponding regional Slack channel.
    – This alerts the ROM and Staffing Director so they can help accommodate the request.
    – Sofia then updates the spreadsheet with the confirmed staffing plan so BallerTV has visibility into what's been arranged.
  4. Sofia sends tournament schedule grids to BallerTV 1-2 days before each event, covering the upcoming weekend's event schedules. This typically ends up being Fridays.
  5. BallerTV handles their own onsite setup independently.
    – If they need anything additional from the ROM or facility, they reach out directly via the shared Slack channel or text. They also add Inaccessible/Trouble Venues to a separate tab for our own visibility.
    – No proactive logistics coordination is required beyond keeping the spreadsheet current and sending schedule grids a few days ahead.

This keeps:

  • Sofia → responsible for securing the partnership, maintaining the spreadsheet, routing staffing requests, and sending weekly schedule grids
  • ROM / Staffing Director → looped in via Slack to accommodate staffing needs as they arise
  • BallerTV → responsible for flagging staffing needs and handling their own onsite setup and logistics

Communication Channels

  • Spreadsheet comments – BallerTV's primary way of flagging staffing needs.
  • Regional Slack channels – used by Sofia to route staffing requests to the ROM and Staffing Director.
  • #prep-btv-issue-escalations channel – main source of quick communication for both parties. This is where Sofia sends upcoming weekend tournament schedules.

Billing & Revenue

BallerTV's partnership with Prep Network operates through a partnership contract, structured as follows:

  • Payment schedule – BallerTV pays Prep Network three times per year for the rights to stream events and access our audience.
  • Value exchange – This arrangement serves a dual purpose: it's a strong value-add for our audience (live streaming access) and a revenue generator for Prep Network.
  • Highlight reel upsell – Prep Network sells BallerTV's highlight reels as an upsell to our audience. Once a year, the corresponding revenue share is sent back to BallerTV.
  • Staffing rate – Any Prep Network staff or film help brought on to support BallerTV are compensated at $20/hr, BallerTV's standard rate for onsite support. This will be communicated through the ROM of the particular event.
