Shipping Dashboard

Dashboard Access

Shipping is managed through the centralized Shipping Dashboard in the Events App (EA).

Location: Events App → Shipping Dashboard

Access:

  • Logistics
  • ROMs
  • Partnerships
  • Directors
  • Jenna
  • Facilities

Users only see events applicable to their access and permissions.


Dashboard Filters

The filter bar is located at the top of the dashboard and includes:

  • Event Date
  • Brand
  • Event
  • Region
  • Status
  • Event Type
  • Content

Region Search

The Region filter matches the exact region name stored in EA.


Summary Tiles

Four summary tiles display shipment counts based on the events and filters shown:

  • Not Shipped
  • In Transit
  • Parial Delivery
  • Delivered
  • Returned

The counts reflect the current shipment status.


Event Sections

The dashboard uses a rolling 21-day view and is divided into two sections:

This Week

Events taking place during the current week.

Following Two Weekends

Events taking place during the following two weekends.

All applicable events within the rolling 21-day window are displayed so the relevant upcoming events can be viewed on one page.


Dashboard Table

The Updated field includes notes when applicable, such as: 1 box still in transit, 2 of 3 delivered.


Outbound & Inbound Tabs

The dashboard is divided into two tabs:

  • Outbound
  • Inbound

Both tabs include the existing shipment functionality:

  • Tracking number
  • Number of boxes
  • Packing slip upload
  • Shipment details

Outbound Shipment — To Venue

The Outbound tab displays shipments being sent to event venues.

Statuses

  • Not Shipped — default status until manually changed
  • In Transit
  • Delayed
  • Partial Delivery
  • Delivered — used only after all boxes are confirmed delivered

A shipment is not marked Delivered until every box associated with the shipment is confirmed delivered.

Shipment Deletion

Users can delete a shipment when necessary.


Inbound Shipment — To HQ

The Inbound tab displays return shipments coming back to HQ.

Inbound shipments from events that occurred within the previous 14 days appear in this view and remain visible until they are marked Delivered back at HQ.

Statuses

  • Not Shipped — default until pickup is confirmed
  • In Transit
  • Delayed
  • Partial Delivery
  • Delivered — used only after all boxes are confirmed received at HQ

Live Performance

The Inbound dashboard reflects current shipment performance.

When an inbound shipment is marked Delivered, the corresponding dashboard metrics update to reflect the new status.


Content Dropdown

The Content field is a multi-select dropdown with the following options:

  • Branding
  • Apparel
  • Supplies
  • Equipment
  • Partnerships

Multiple content types can be selected for a shipment.

Content also functions as a dashboard filter. For example, the Partnerships team can select Partnerships to view partnership-specific shipments.


Notifications

The Shipping Dashboard provides notifications for key shipping updates.

ROMs

ROMs receive Slack notifications and are tagged directly when applicable shipping status changes occur.

Notifications use the ROM assignment associated with the event in EA.

Directors

Directors receive email notifications for applicable outbound status changes.

Notification Indicator

A notification indicator appears in the top-right corner of the Shipping Dashboard.

Additional Dashboard Functionality

  • Region searches use exact region matching.
  • Shipment status and inbound performance metrics reflect current data.
  • The dashboard uses a rolling 21-day event window.
  • Events are separated into This Week and Following Two Weekends.
  • All applicable events within the 21-day window are available from the dashboard.
  • Shipments can be deleted when necessary.
  • Existing shipment-level functionality remains available within the dashboard.
