Director’s Assistant Responsibilities
- Retrieve score sheets from each court after games are completed.
- Ensure game scores are correctly listed for each team after the game.
- Enter scores in Exposure correctly within 15 minutes of the end of the game.
- Assist in any situations that arise if the director is occupied with another task or situation.
- Always listen to both sides of the story and de-escalate the situation.
- Situations may include parents, players, coaches, referees, and workers.
- Involve security or police if it is necessary.
- Ensure wristbands are on all spectators. If they are not, walk them back to the admissions table to have them pay.
- If any spectator tries to enter without you seeing their wristband, you must call them out and ask them to show it.
- If any spectator tries to enter wearing the incorrect color wristband, you must call them out.
- The only people who can enter without wearing a wristband are players, officials, event staff, and Prep Network staff.
- Checking for other entrances or doors being propped open, where spectators could be getting in without paying.
- Assisting with on-court/field disputes.
- Assisting the Event Director with event setup and teardown.
- Communicating with the Event Director on when to arrive at the facility.
- Setting up and taking down A-frames, backdrops, table wraps, and signage around the venue.
- Connecting with the venue contact for any information you may need (printer, signage, etc).
- Assist the director at the end of the day with cleaning up courts, front of house, and any other areas where spectators and players had access.
- Keep things neat, clean, and respectful for the venue.
- At the end of the tournament, take a final walkthrough of the venue to make sure everything is collected and nothing is left behind.
- Monitoring that staff is present on all courts and at admissions at all times.
- As events start, there should always be 3-4 admissions workers at the front of house as well as 1 team check-in worker.
- There should always be at least one admissions worker at the front of house taking admissions.
- If there are gaps, step in to fill them and work with the event director to fill the positions.
